Airport transfer – cost reimbursment
- In exceptional circumstances, when an airport transfer cannot be arrange by other means, Anneberg might call upon drivers with private vehicles in Taulov to assist with collecting / delivering fellow colleagues to an nearby airport.
- Anneberg will reimburse all the costs associated with such an airport transfer with a flat-sum. The flat fee will be reimbursed only as fuel as follows:
- 8L of fuel for each return trip between Taulov and Billund
- 13L of fuel for each return trip between Grønbjerg and Billund
- 20L of fuel for a trip between Taulov, Billund, Grønbjerg and back to Taulov
- In order to be eligible for reimbursement, the airport transfer must be requested by the dispatch office and recorded in the log here: working patterns 2020.xlsx
- The reimbursement will be done either on a quarterly basis or as soon as 40L limit is reached as follows:
- In-kind as fuel, to be pumped in Grønbjerg if the business rationale allows it.
- As a reimbursement, based on a fuel receipt issued in Denmark, no older than 18 days. The driver requesting an reimbursement will not use a company fuel card (e.g. Circle K, Shell etc.) but will advance these amounts (from their own money). The reimbursement will be processed up to the total amount on the receipt but no more than the calculated quantity as resulted from the formula: total number of airport transfers x liters of fuel to be reimbursed as per the current procedure. The fuel receipt will be send to the office together with other load documents via the regular weekly envelope. The fuel receipts will be marked on the back with the following details:
- Name of the person requesting the reimbursement and its signature
- Registration plate of the vehicle used for the airport transfers and in which the fuel has been loaded
- The term: “AIRPORT TRANSFER”
- the date of each airport pickup and the name of each person transported
- The reimbursement will be processed with the next scheduled payment for that driver (e.g. with the next salary). Once reimbursement processed, not further claims will be accepted for the same airport transfers. The persons which will graciously avail their own vehicle for these airport transfers will bare the full responsibility for any other costs arising from these transfers (e.g. parking fees, theft, damage to vehicles, fines etc.). Any other exceptional expenses can be reimbursed only with prior approval from the dispatch office.
